This position follows a hybrid schedule with three (3) in-office days per week. Our office is located at 10711 Cambie Rd. #130, Richmond, BC V6X 3G5.

The Executive Coordinator is responsible for providing senior-level administrative support while also contributing to project coordination and light project management activities to ensure smooth execution of business initiatives.

This position is full time Monday – Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8:00am – 5:00pm.

We offer 4 weeks of on-the-job training. The hours of the training will be aligned with your schedule.

              

Primary Responsibilities:

  • Manage and maintain complex calendars; coordinate meetings while avoiding scheduling conflicts.
  • Prepare and distribute meeting materials in a timely manner.
  • Schedule and coordinate resources and technology for meetings/events, including those involving Executive and Board-level participants.
  • Arrange travel logistics (airfare, hotel, ground transportation, office space) and assist with expense reporting.
  • Host and facilitate meetings and external events, including speaker introductions, presentation support, timekeeping, and note-taking.
  • Ensure appropriate access for meeting participants (e.g., security badges, building/internet access).
  • Plan and organize logistics for large and/or offsite events using internal and external resources.
  • Support project coordination efforts by tracking timelines, deliverables, and action items across multiple stakeholders.
  • Assist in project planning and execution, including scheduling project meetings, preparing status reports, and following up on outstanding tasks.
  • Collaborate with cross-functional teams to ensure alignment on project goals, timelines, and deliverables.
  • Maintain project documentation and ensure version control of key materials and communications.
  • Proactive, solution-oriented mindset with a collaborative approach to team success.
  • Proven high emotional intelligence (EQ), with a proactive and anticipatory approach to support. 
  • Demonstrated familiarity with internal systems for onboarding, Business Segment Liaison (BSL) requests.

Required Qualifications:

  • High School Diploma / GED
  • Must be 18 years OR older
  • 3+ years of experience as a Project Coordinator, Project Manager, or Executive Assistant supporting multiple executives (e.g., Legal, HR, Finance)
  • Intermediate proficiency in Microsoft Office 365
  • Ability to quickly learn and adapt to new tools, systems, and technologies, with a proven track record of being technically savvy
  • Ability to manage multiple tasks/projects and deadlines simultaneously with extreme attention to detail and confidentiality
  • Ability to work up to three days per week at 10711 Cambie Rd. #130, Richmond, BC V6X 3G5
  • Ability to work full time Monday – Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8:00am – 5:00pm

                  

Preferred Qualifications:

  • 1+ years of experience in project coordination, office management, or project management
  • Experience in travel planning and scheduling
  • Experience supporting project teams or managing small-scale projects

  • Reside within commutable distance to the office at 10711 Cambie Rd. #130, Richmond, BC V6X 3G5
  • Ability to keep all company sensitive documents secure (if applicable)
  • Required to have a dedicated work area established that is separated from other living areas and provides information privacy
  • Must live in a location that can receive a UnitedHealth Group approved high-speed internet connection or leverage an existing high-speed internet service

Canada Residents Only: The hourly range for Canada residents is $19.38 to $ 40.24 per hour. Pay is based on several factors including but not limited to education, work experience, certifications, etc.
