Provides essential support to clinical and administrative teams by assisting in daily operational activities, ensuring efficient patient flow, and maintaining high standards of service and compliance. Works under the direction of supervisory staff to help implement policies, coordinate schedules, and support patient care initiatives.  This role serves as a key support position, enabling supervisors and managers to focus on leadership and strategic initiatives by handling operational and administrative tasks effectively.

 

Primary Responsibilities:

  • Leadership & Supervision
    • Directly supervises a small number (2-7) of clinical and administrative staff, including hiring, training, scheduling, performance evaluations, corrective actions, and resolving grievances
    • Fosters teamwork, staff empowerment, and continuous improvement through clear communication and leadership
    • Collaborates with supervisor and People Team on performance management and corrective actions
    • Provides training, guidance, and support on policies, procedures, and software systems
    • Serves as a role model and promotes self-directed teams and quality management
    • Contributes to departmental employee engagement efforts
  • Operational Support
    • Assist with daily clinical operations
    • Monitor patient flow and help adjust schedules or staffing needs to optimize access and reduce wait times
    • Maintain and update provider schedules and communicate changes to appropriate team members
    • Achieves and retains super-user status on current system software to best manage provider’s appointment schedules.  Provides training and support to all members of the site/department on the procedures and current software
    • Assist with inventory tracking and equipment maintenance to ensure availability and functionality
    • On average, spends 50% of time providing top-level Medical Assistant or PSS functions for the department
  • Administrative Duties
    • Assist with processing time-off requests, payroll documentation, and other personnel-related paperwork as directed
    • Maintain accurate records and documentation in electronic medical record (EMR) systems and other software platforms
    • Support the team in collecting and organizing data for performance reports and quality improvement initiatives
    • Participate in patient satisfaction efforts by assisting with patient communications, call management, and follow-up
  • Team Collaboration & Communication
    • Work collaboratively with clinical staff, administrative personnel, and providers to facilitate efficient operations
    • Participate in daily huddles and team meetings to communicate updates and contribute to problem-solving
    • Provide excellent customer service to patients, addressing concerns or escalating issues to supervisors as appropriate
  • Compliance & Safety
    • Follow established policies and procedures related to patient privacy (HIPAA), infection control, and workplace safety
    • Assist with maintaining a clean, organized, and safe clinical environment in compliance with regulatory standards
  • Other
    • Performs similar or related duties as required or directed
    • Enhances professional growth and development through educational programs, seminars, etc.  
    • Regular, reliable and predicable attendance is required

Required Qualifications:

  • High school diploma or equivalent
  • Knowledge of medical terminology and experience with electronic medical records
  • Proficient in Microsoft Office (Excel, Word, Outlook) and practice management software
  • Proven excellent organizational, interpersonal, team-building, and communication skills
  • Demonstrated leadership ability that includes problem-solving skills and the ability to communicate via written reports
  • Proven ability to address issues through project management and coordinate people and resources accordingly

 

Preferred Qualification:

  • 1+ years of experience in a healthcare experience or ambulatory care setting

 

Physical Requirement

  • Physical health sufficient to meet the ergonomic standards and demands of the position

 

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). No matter where or when you begin a career with us, you’ll find a far-reaching choice of benefits and incentives. The salary for this role will range from $58,800 to $105,000 annually based on full-time employment. We comply with all minimum wage laws as applicable.
