We are searching for a highly qualified Senior Administrative Assistant for Government Programs Marketing teams. As a member of the administrative team, this position is responsible for proactive calendar management, planning/coordinating meetings, printing/copying, travel arrangements and expense reporting, as well as project management support for team initiatives. The Senior Administrative Assistant will also have Business Support Liaison (BSL) responsibilities, such as invoice management, management of timely equipment ordering and set-up, software and office supply purchases and new hire onboarding/off boarding as needed.
This is a complex, fast paced working environment that requires an individual who is flexible, can manage multiple priorities and asks, has keen attention to details, is self-motivated and has exceptional organizational skills.
This role is based in the Minnetonka, MN office with flexibility to work a hybrid schedule, which is defined as four days onsite, and one day offsite per week.
Primary Responsibilities:
- Provide administrative support in a manner consistent with the highest level of performance and professionalism
- Support Marketing Vice Presidents with proactive calendar management, distribution lists, communication cadence and employee engagement calendar and event management
- Schedule meetings as requested and facilitate meeting logistics (technology, conference center requests, catering, guest credentialing, etc.)
- Manage travel arrangements and provide organized resources (itineraries, agendas, meeting materials) for upcoming leader travel and meetings
- Use various software including Word, Excel, PowerPoint, Visio to prepare presentations, reports, agendas and other communications
- Proactively maintain and distribute lists as needed (e.g., organization charts, email distribution list, contacts)
- Develop processes to maximize efficiency of administrative duties and BSL processes
- Act as team Business Services Liaison (BSL) to assist with employee & contractors’ onboarding, offboarding and terminations; as well as manage requests for hardware, software applications and supplies within department standards and company procedures to meet business priorities
- Support ad hoc project management activities as requested by team leaders (i.e., clients, executives, internal business partners)
- Post relevant documentation (i.e., meeting notes, proposal letters, PowerPoint decks, policies and procedures, general correspondence) onto relevant systems (i.e., SharePoint, eDoc) and communication boards
- Use relevant software applications (i.e., Microsoft Project, Word, Excel, PowerPoint, Outlook, Visio, AdobePro)
- Monitor/oversee functional and employee office communications (i.e.., email, calendar, phones) for internal team members and take appropriate action, as needed
- Assist with and/or perform budget planning for the department’s travel budget and other functions
- Coordinate multiple projects that may span multiple weeks with multiple stakeholders
- Work from the Minnetonka office

Required Qualifications:
- 3+ years of administrative experience supporting multiple executives in administrative capacity within a fast-paced environment in a large, matrixed corporate organization
- Experience coordinating large meetings, including virtual meetings and teleconferences
- Intermediate or better level of proficiency with MS Office applications, specifically Word and Outlook
- Intermediate or better proficiency with PowerPoint and Excel
- Proven to have a polished demeanor and be comfortable working with people at all levels
- Proven excellent organizational skills
- Proven excellent verbal and written communication and grammatical skills
- Proven ability to manage multiple tasks/projects and deadlines simultaneously with attention to detail
- Reside within a commutable distance from Minnetonka, MN office
Preferred Qualifications:
- Experience creating and submitting expense reports
- Experience as a Business Segment Liaison (BSL) coordinating office moves including hardware and software requisitions, travel arrangements, new hire onboarding and other office management
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $20.00 to $35.72 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
