The Executive Assistant will directly support 7-8 finance Executives with senior level administration services including: maintaining calendars and setting up meetings, supporting internal communications, creating/updating documents, making travel arrangements, copying, printing, greeting visitors, setting up files, maintaining shared drives and web portals, tracking expenses, coordinating building and equipment maintenance.
This position will also have BSL (Business Segment Liaison) responsibilities supporting a team of ~200 finance professionals including new hire onboarding / off boarding, real estate space planning, provide assistance in trouble-shooting PC and system access issues, equipment ordering and set-up, software purchases and office supply ordering.
This is a fast-paced working environment that requires the ability to multitask with attention to detail and excellent organizational skills. The position is highly visible with UHC senior leadership and critical to the effective performance of the UHC corporate finance teams.
This role is based in the Minnetonka, MN office with flexibility to work a hybrid schedule, which is defined as four days onsite, and one day offsite per week.
Primary Responsibilities:
- Create / maintain calendars and coordinate meetings avoiding scheduling conflicts
- Create / prepare meeting materials (e.g., PowerPoint deck; agendas, meeting minutes) and ensure distribution to appropriate individuals in a timely manner
- Schedule, coordinate, and/or set up facility resources and technology needed for meetings / events. Technology may include projectors, Telepresence / video conferencing, teleconferences, etc.
- Draft and facilitate team-wide communications to approximately 700 employees
- Administrator (approve access, edit content and maintain structure) for numerous shared drives, web-based portals and distribution lists
- Coordinate real estate moves and space projections
- Make travel arrangements
- Event planning for staff meetings, offsite leadership meetings, large employee functions, etc.
- Support expense reporting
- Coordination and collection of documents for signature on quarterly filings for ~100 entities
- Notarize filed documents
- Accurate and timely fulfillment of items needed by the team – supplies, equipment, software, etc.
- Print, scan and/or copy confidential documents
- Interface with other Executive Assistants, Executive Leaders and our staff
- Proactive assessment of our day-to-day needs
- Other duties as assigned

Required Qualifications:
- 5+ years of administrative support to senior leadership in a fast paced, highly matrixed organization
- Proficient level of all Microsoft Office including Teams, Word, Excel, Outlook, Visio and PowerPoint
- Business Segment Liaison (BSL) or commensurate employee onboarding experience
- Adept at collaborating with others and building relationships across teams at all levels of the organization
- Desire to leverage technology to innovate our processes and presentations
- Polished, positive demeanor and comfortable working with people at all levels
- Experience providing high quality, consistent services to numerous leaders within the department
- Attention to detail, including taking proactive measures to prevent missed deadlines
- Notary or willing and able to obtain
- Reside within commuting distance to Minnetonka, MN
Preferred Qualifications:
- Experience with Concur, Ariba and/or Yammer
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $23.41 to $41.83 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
